Job description
The Plaintiff Personal Injury Intake Case Manager is responsible for independently managing pre-litigation personal injury cases from intake through medical treatment and demand readiness.
This is a high-volume, production-driven role requiring exceptional organization, urgency, accountability, and communication. You will serve as the primary point of contact for clients while coordinating medical treatment, property damage, insurance communications, and case progression.
Success in this role requires someone who takes ownership of every file, proactively identifies obstacles, and keeps cases moving efficiently toward the next stage of the legal process.
What You'll Do
Client Communication & Case Management
• Serve as the primary point of contact for injured clients.
• Manage an active pre-litigation caseload independently.
• Provide regular updates regarding treatment, case status, and outstanding items.
• Respond promptly to calls, emails, text messages, and voicemails.
• Maintain accurate case documentation in the case management system.
Medical Treatment Coordination
• Monitor client treatment progression.
• Coordinate appointments and follow-up with medical providers.
• Identify treatment gaps, missed appointments, and barriers to recovery.
• Request, obtain, review, and upload medical records and billing documentation.
Insurance & Property Damage Coordination
• Communicate directly with insurance adjusters.
• Verify coverage, policy information, claim numbers, and adjuster details.
• Assist clients with:Property damageTotal loss claimsRental coordinationLoss of use concernsDiminished value claims
Case Progression
• Manage a high-volume caseload while meeting productivity expectations.
• Monitor milestones and proactively move files toward demand readiness.
• Escalate legal issues requiring attorney review.
• Ensure files are complete and organized before transfer to the next department.
Performance Expectations
Success in this role will be measured by the ability to:
• Independently manage a high-volume pre-litigation caseload.
• Handle 50+ inbound and outbound client communications daily.
• Keep cases progressing through treatment without unnecessary delays.
• Coordinate medical treatment and provider follow-up.
• Resolve property damage issues efficiently.
• Meet productivity, responsiveness, and quality KPIs.
• Maintain complete and accurate case documentation.
• Deliver exceptional client service while balancing competing priorities.
Required Qualifications
• Minimum 1 year of recent Plaintiff Personal Injury pre-litigation case management experience.
• Experience independently managing pre-litigation cases from intake through treatment.
• Experience coordinating medical treatment and provider follow-up.
• Experience communicating directly with insurance adjusters.
• Experience handling property damage matters.
• Experience moving cases toward demand readiness.
• Experience managing a high-volume caseload.
• Experience working in a KPI-driven environment.
• Fluent in English and Spanish (written and verbal).
• Strong computer skills and experience with legal case management software.
• Ability to work independently in a remote environment.
Preferred Qualifications
• Experience using Litify, Salesforce, Filevine, Needles, or Clio.
• Experience in a Plaintiff Personal Injury law firm.
• Experience consistently meeting productivity and quality KPIs.
• Experience handling 100+ active pre-litigation files.
