Team Overview
As part of the Blackstone team, the Program Coordinator will provide high-level administrative and project support to the Blackstone Program Director (and indirectly, the VP of Philosophy and Education), including calendar management, travel coordination, expense review, budget tracking, and preparation of materials and reports. You'll also serve as a key point of contact for program participants, faculty, allies, and vendors, while helping uphold the team's standard of excellence. This position requires physical presence at the Virginia or Dallas ADF office and occasional travel to Blackstone events.
Key Responsibilities
• Providing the Blackstone Program Director with full administrative support, including scheduling, expenses, program development communications, and other related tasks.
• Preparing expense reports for the VP of Philosophy & Education and, as needed, other team members.
• Coordinating and submitting routine communications, such as the weekly ADF newsletter (One Team Insider), to help maintain a unified culture in line with ADF's guiding principles.
• Assisting with establishing and conducting meetings for the Blackstone Legal Fellowship's summer program.
• Managing video-related workflows, including facilitating Legal review, tracking sharing permissions, and processing cross-team requests to use or view Blackstone videos.
• Coordinating, scheduling, finalizing, and tracking Audio/Visual recordings for Phase IV Conversations.
• Working with the Blackstone Program Director to execute various projects, events, and activities, and with Finance and HR to process team recognition awards as requested.
• Performing related duties or special projects as assigned by the Blackstone Program Director.
Minimum Qualifications
• Bachelor's degree in a related field, such as Communications, English, or Business Administration
• 2+ years of administrative experience
• Competency in Microsoft Word, Outlook, PowerPoint, Canva, and Adobe Acrobat Pro, and proficiency in Microsoft Excel
Preferred Qualifications
• Prior experience supporting senior leaders
