The Specialist works across HCB Operations Services & Training to coordinate communication needs, turn complex information into simple field actions, and ensure recurring operational workflows are completed accurately and on time.

The base salary range for this position is between $68,000 and $72,000. At Madison Reed, we aim to pay competitively. Factors which may affect starting pay within this range may include geography/market, skills, education, experience, and other qualifications of the successful candidate.
Responsibilities
Field Communications
• Manage the day-to-day execution of HCB field communications, including drafting, editing, scheduling, and publishing clear, concise, and actionable messages.
• Manage the HCB communications calendar and end-to-end production process, including content collection, review, approvals, and coordination across launches, training, programs, and operational priorities.
• Develop recurring field updates, FAQs, leader talking points, launch resources, and other communication materials while maintaining Madison Reed brand and voice standards.
• Lead the execution and production of HCB Town Halls, including project timelines, presentation development, speaker coordination, meeting logistics, and follow-up communications.
• Use AI and communications tools to improve the quality, speed, and efficiency of field communications.
Learning Operations & LMS Administration
• Provide day-to-day HCB LMS administration, including learner records and rosters, course and learning-path assignments, completion tracking, reporting, and first-line troubleshooting.
• Publish and maintain HCB learning content in the LMS, checking that it loads, tracks, and displays correctly before it reaches the field, and keeping learner records accurate as people join, move, and leave.
• Coordinate training communications, schedules, participant information, materials, and follow-up.
• Coordinate logistics for virtual and in-person training as needed.
Operational & Administrative Support
• Administer the HCB PEX card program, including loading and tracking against established processes. Reconciliation is reviewed and approved by a second reviewer outside this role.
• Coordinate recurring supply ordering and distribution for HCB locations.
• Respond to and appropriately route routine field support requests and provide coordination support for selected HCB initiatives.
• Coordinate planning and event logistics for the annual HCB GM Summit, including timelines, vendors, attendee logistics, materials, communications, and onsite support.
• Use AI and available technology to improve efficiency and automate recurring workflows where possible.
Qualifications:

• Strong organization, attention to detail, and follow-through.
• Ability to manage recurring work while balancing changing priorities and deadlines.
• Strong technology aptitude and ability to learn new systems quickly.
• Hands-on experience administering an LMS (Wisetail, Docebo, Opus, or similar) — assigning and tracking training, publishing content, pulling completion reports.
• Experience with communications, project-management, or collaboration platforms preferred.
• Proficiency using AI and productivity tools to improve quality and efficiency, with the judgment to check AI output before it reaches the field.
• Experience in multi-unit retail, hospitality, beauty, or another distributed field organization preferred.
